Plain-language terms for organisations and authorised users of Safestead.

Agreement and scope
These terms apply when you access or use Safestead, including its web service, field app, browser extension, support, and related integrations. Your contracting supplier is the Safestead person or entity identified on your order confirmation or invoice. If your organisation has a signed agreement with Safestead, that agreement takes priority where it differs from these terms.
If you use Safestead for an organisation, you confirm that you are authorised to accept these terms for that organisation. “You” means that organisation and its authorised users.
Accounts and authorised users
- Provide accurate account, billing, and contact information and keep it current.
- Keep sign-in methods and browser connection keys secure. Do not share a personal account between people.
- Configure workspace roles carefully and remove access when a person no longer needs it.
- Tell us promptly if you reasonably believe an account, device, or connection has been compromised.
Your records and responsibilities
You retain ownership of forms, documents, photographs, answers, customer details, and other content supplied to Safestead. You give Safestead a limited permission to host, process, reproduce, and transmit that content only as needed to provide, secure, support, and improve the service.
You are responsible for having a lawful basis and any permissions needed to collect, store, and share your content; for giving workers, customers, and other people any privacy notices required for information you place in Safestead; for configuring retention and access appropriately; and for reviewing generated drafts, extracted data, receipt suggestions, and reports before relying on them. Safestead is a record-keeping tool and does not provide legal, accounting, safety, or compliance advice.
Browser extension and integrations
Optional connections to Gmail, Outlook, Xero, Supabase storage, and other services are controlled by you and may be disconnected. Their availability also depends on the third-party service. The browser extension uses only the permissions and data described in the Safestead privacy notice. It never completes a final Xero reconciliation action for you.
Plans, fees, and cancellation
Paid plans, included allowances, billing periods, and taxes are shown at checkout or in an agreed order. Unless the order says otherwise, subscriptions renew for the same billing period until cancelled. You authorise the payment provider to charge the selected payment method.
You can cancel future renewal through the billing portal or by contacting us. Cancellation takes effect at the end of the paid period unless the order or applicable law requires otherwise. Fees already paid are not refundable except where stated in an order or required by law.
Acceptable use
- Do not use Safestead unlawfully or to infringe another person’s rights.
- Do not upload malicious code, attempt unauthorised access, or interfere with the service or another workspace.
- Do not bypass usage limits, security controls, or human-review safeguards.
- Do not resell or copy the service except under a written agreement with Safestead.
Service operation and changes
We aim to keep Safestead available and secure, but no online service is uninterrupted or error-free. We may maintain, change, or discontinue features to improve the service, respond to security or legal requirements, or account for third-party changes. We will give reasonable notice when a material change is likely to adversely affect active customers, where practical.
Privacy, security, and confidentiality
Our privacy notice explains how Safestead handles personal information. We use reasonable technical and organisational safeguards and treat non-public workspace content as confidential. We may use service providers under appropriate obligations to operate Safestead.
Suspension, termination, and data
We may restrict access where reasonably necessary to protect the service, prevent misuse, comply with law, or address overdue undisputed fees. We will try to notify you and provide a reasonable opportunity to fix the issue when circumstances allow. On termination, access ends and content is handled in line with the privacy notice, any agreed export period, legal obligations, and normal deletion or backup cycles.
Liability and applicable law
Nothing in these terms excludes or limits a right or remedy that cannot lawfully be excluded. To the extent permitted by law, neither party is liable to the other for indirect or consequential loss, lost profit, lost revenue, or lost opportunity arising from the service.
These terms are governed by New Zealand law. The parties will first try in good faith to resolve a dispute directly before starting court proceedings, except where urgent relief is needed.
